How it works

How FXdispatcher digitises your inbound mail

From automatic ingestion through AI-powered classification to automated dispatch: a seamless, traceable workflow with no media breaks.

1 · Ingestion – bring every inbound channel together

FXdispatcher polls IMAP mailboxes and FTP sources and takes over scan inputs. Incoming PDFs and images land automatically in the digital intake folder. The result is a single, unified inbound mail stream – whether a document arrives as a letter, an email attachment or a file.

2 · AI dispatcher – classify with vision-language models

The dispatcher bot analyses every document with a vision-language model and determines the document type and relevant content. Unlike pure OCR, the model looks at layout and text together and so copes even with changing forms, special cases and mixed quality. Every case receives a recognition confidence.

3 · Confidence routing – confident goes automatic, uncertain goes to review

If the recognition confidence exceeds the defined threshold, FXdispatcher routes the case automatically to the appropriate destination folder. If it falls below, the case stays in the intake and is held back for manual review. This way, nothing is processed "blindly" – automation and diligence are not mutually exclusive.

4 · Capture – lean manual review

In the operator workspace, your staff only see the cases that need a human eye. An integrated PDF viewer, action panel, context menu and undo make handling quick. Cases can be moved between folders via drag & drop; search and bookmark functions are available to the roles authorised for them.

5 · Filing & automated dispatch

From final filing, FXdispatcher takes over the hand-off: configurable dispatch jobs send results automatically by email or to downstream systems. Retry logic catches temporary delivery problems; messages that remain permanently undeliverable end up in a dead-letter area for targeted follow-up.

A view of their own brand/group areas, read access to the processing log and case search.

Dispatcher

Routes cases between areas – the lever between automatic pre-sorting and manual capture.

Operator

Handles cases in the assigned folder area – focused on the cases that genuinely need attention.

Control

Dashboard & metrics in real time

FXdispatcher makes operations measurable. The dashboard shows throughput, backlog and forecasts so you can spot peak loads before they become a bottleneck.

  • Throughput and backlog from the last few hours at a glance
  • Capacity and volume forecasts for staff planning
  • Quality metrics and anomaly detection
  • System health for stable operations
